[Outlook] Creating Mailbox Rules

Rules can be created in Outlook that automatically take an action when an email is received, such as forwarding, deleting or moving messages, and many more. The example shown below creates a rule that moves all new messages sent to the AH All Staff group into a new folder.

Outlook For Windows

STEP 01) While in the Outlook Windows App, click File in the top left, then Rules and Alerts.

STEP 02) Click New Rule... to begin creating a new rule.

The Rules Wizard screen opens, allowing you to configure what you'd like your rule to do. For this example we select the option to move messages that were sent to a group. After selecting an option from the Step 1 box, move down to to the Step 2 box.

Click the underlined text people or public group and select the groups you'd like to include in your rule (for this example it is AH All Staff).

Click the underlined text specified to select which folder these messages will be moved to. Click New... to create a new folder. Give the folder a name in the new Window that appears, then click OK and Finish on the open windows.

After that is done all messages addressed to those groups should automatically be placed in this new folder instead of your main inbox. You can create as many rules as you like, so feel free to play around with these settings and let us know if you have questions.

Outlook for Web

Click the cog wheel in the upper right hand corner and select Options. Then choose inbox and sweep rules from the left-hand column.

This functions very similarly to the method used above in Outlook for Windows, but with a slightly different interface.

Click the Plus icon to create a new rule, and fill out settings as desired. Click OK to save and create the rule when you are done.
